Workflow Dashboard in Advanced Analytics

Summary

The Asset Workflow Dashboard in Advanced Analytics helps you understand how work moves through Asset Workflow in Bynder. They provide visibility into current workload, overdue jobs, workflow stages, completed work, cancelled jobs, stage returns, and team activity.

The dashboards are split into two views:

  • Asset Workflow - Status shows the current state of active workflow jobs, including active, overdue, and on-hold jobs.
  • Asset Workflow - Activity shows workflow activity over time, including created jobs, completed jobs, cancelled jobs, stage returns, and completion speed.

Together, these dashboards help DAM administrators, marketing managers, creative operations teams, and workflow owners monitor workload, identify bottlenecks, and report on the efficiency of their asset creation and approval processes.

Who?

The Asset Workflow dashboards are part of the Advanced Analytics package. You must have Asset Workflow enabled in your portal to view this dashboard. 

Once enabled, users with the View advanced reporting permission can access, view, and download reports from this dashboard.

Why?

This dashboard provides a data-driven view of your creative pipeline, helping DAM administrators and Creative Leads move beyond manual tracking. Use this data to:

  • Identify bottlenecks: Pinpoint specific stages (e.g., "Legal Review") consistently causing delays.

  • Monitor team workload: View active jobs per team member to balance tasks and prevent burnout.

  • Track revisions: Use the Stage Returns metric to see how many rounds of revisions are occurring for specific asset types.

  • Accurate reporting: Differentiate between overdue jobs and canceled jobs to ensure your KPIs reflect true team productivity.

How?

Accessing and Navigating the Asset Workflow Dashboard

  1. Navigate to the Analytics section in your Bynder portal.

  2. Select the Workflow Dashboard tab.

    1. To view the Asset Workflow - Activity dashboard, select Asset Workflow > Activity.

    2. To view the Asset Workflow - Status dashboard, select Asset Workflow > Status.

  3. Set Timeframe and Granularity: Use the date range filters to focus on a specific period (e.g., last 2 quarters) and adjust the detail level (e.g., monthly).

  4. Review Overview Metrics: At the top of the dashboard, view high-level summaries: Total Jobs, Active Jobs, Completed Jobs, Overdue Jobs, and Cancelled Jobs.

  5. Analyze Trends: Examine the Jobs Created vs. Completed and Running Total of Jobs graphs to understand volume fluctuations over time.

  6. Identify Bottlenecks: Scroll to the Workflow Stages section to see which stages have the longest average completion times or the highest number of stalled jobs.

  7. Assess Task & User Performance: Review metrics on average task completion time and individual user contributions to identify where additional support or training may be needed.

  8. Apply Advanced Filters: Use the sidebar to filter by Campaign, Preset Name, Job Metaproperties, Responsible User, or Status for more targeted insights. When filtering by Job Metaproperties, this allows you to view performance based on custom data fields such as "Content Type," "Project Purpose," or "Market." For example, you can compare if "Video Projects" take significantly longer to complete than "Social Graphics."

  9. Export Reports: Utilize the export options to download data for external presentations or further analysis.

Asset Workflow - Status Dashboard

The Asset Workflow - Status dashboard gives you a snapshot of your current workflow workload. It focuses on jobs that are active, overdue, or on hold, and helps you understand where work is currently sitting in the process. The current design includes KPI cards for active jobs, overdue jobs, jobs on hold, overdue percentage, on-hold percentage, and assignees. It also includes breakdowns by campaign, stage, preset, current responsible user, deadline date, and job details.

KPI Cards

Name Description What's Measured?
Jobs Active Displays the number of workflow jobs that are currently active. Use this to understand the current open workload in Asset Workflow. A high number of active jobs may indicate a busy production period, an increase in incoming requests, or potential workflow congestion.
Jobs Overdue Displays the number of active jobs that have passed their deadline. Use this to identify work that may require immediate attention. This metric helps teams focus on jobs that are at risk of delaying campaigns, launches, or content delivery.
Jobs on Hold Displays the number of workflow jobs that are currently on hold. Use this to monitor work that has been paused. A high number of on-hold jobs may indicate missing information, dependency issues, resource constraints, or projects waiting for stakeholder input.
Overdue Jobs Displays the percentage of active jobs that are overdue. Use this to understand whether overdue work is an isolated issue or a broader workflow problem. This is useful for tracking SLA performance and workflow health over time.
On Hold Jobs Displays the percentage of active jobs that are on hold. Use this to understand how much of the current workflow is paused. This can help identify whether teams are frequently blocked by unclear briefs, missing approvals, or external dependencies.
Assignees Displays the number of users or user groups currently assigned to active workflow jobs. Use this to understand how many people are involved in the current active workload.

For example, if many jobs in one campaign are sitting in the same review stage, that may indicate a lack of available approvers or unclear review ownership.

Use this table when you need a more detailed view than the chart provides, or when you want to identify exactly which campaign-stage combinations need attention.
Jobs by Preset and Stage Displays how active workflow jobs are distributed across workflow presets and stages. Use this to compare workflow performance across different workflow types. For example, you can see whether design requests, video requests, business card requests, or content requests are building up in specific stages.
Jobs by Preset Stage table Displays detailed status metrics for each preset and stage, including active, on-hold, overdue jobs, and current responsibles. Use this table to identify which workflow presets may need process improvements. If one preset repeatedly has many jobs in a specific stage, the workflow design may need to be reviewed.
Jobs by Current Responsible Displays current workload by responsible user or group. Use this to understand who currently owns active work. This can help managers balance workloads, identify overloaded users or teams, and follow up with the right people.
Jobs by Job Deadline Date Displays jobs grouped by deadline date. Use this to identify upcoming or overdue deadlines. If no deadline data is available, this section may show no results.
Job Details Displays individual job-level details, including creation date, job name, preset name, campaign name, current stage, current responsible, creator, deadline date, and days from deadline. Use this table when you need to move from dashboard-level insight to specific jobs that require action.

Asset Workflow - Activity Dashboard

The Asset Workflow - Activity dashboard shows how workflow activity changes over time. It focuses on created jobs, completed jobs, cancelled jobs, stage returns, completion speed, and activity by campaign, preset, creator, and responsible user. The current design includes KPI cards for jobs created, jobs completed, completed on time, completed late, average days to complete, and jobs cancelled. It also includes time-series charts and activity tables by campaign, campaign and preset, creator, and responsible user.

KPI Cards

Name Description What's Measured?
Jobs Created Displays the number of workflow jobs created during the selected time period. Use this to understand request volume and workload trends. This is useful for reporting on creative demand and planning future team capacity.
Jobs Completed Displays the number of workflow jobs completed during the selected time period. Use this to understand throughput. Comparing jobs created with jobs completed helps you see whether the team is keeping up with incoming demand.
Completed on Time Displays the number of completed jobs that were finished on or before their deadline. Use this to understand how often teams meet expected delivery timelines.
Completed Late Displays the number of completed jobs that were finished after their deadline. Use this to identify delivery issues and track whether workflow delays are increasing.
Avg Days to Complete Displays the average number of days it took to complete jobs. Use this to understand workflow speed. This metric is useful for comparing performance across periods, campaigns, presets, or teams.
Jobs Cancelled Displays the number of workflow jobs cancelled during the selected time period. Use this to understand how much requested work does not reach completion. A high number of cancelled jobs may indicate duplicate requests, changing priorities, incomplete briefs, or process issues.

Displays workflow activity grouped by campaign, including:

  • Jobs created
  • Jobs completed
  • Completed on time
  • Completed late
  • Stage returns
  • Average days to complete
  • Jobs cancelled
Use this table to compare workflow performance across campaigns. This helps identify which campaigns create the most work, which campaigns experience more rework, and which campaigns take longest to complete.
Activity by Campaign and Preset Displays workflow activity by campaign and workflow preset. Use this table to understand which types of work are driving activity within each campaign. For example, a campaign may include design requests, content requests, video requests, or other workflow presets, each with different completion patterns.
Activity by Creator Displays workflow activity grouped by the user who created the job, including jobs created, stage returns, and average days to complete. Use this table to understand where requests originate. It can also help identify creators whose jobs often require rework or take longer to complete, which may indicate that intake briefs, requirements, or training need improvement.
Activity by Responsible

Displays workflow activity grouped by responsible user or group, including:

  • Jobs interacted with
  • Stage progressions
  • Stage returns
  • Average days to complete
  • Jobs completed
Use this table to understand how different users or teams contribute to workflow progress. This can support workload balancing, performance conversations, and process improvement.

Best Practices

  • Use the Asset Workflow - Status dashboard for operational follow-up: Review this dashboard regularly to see which jobs are currently active, overdue, or on hold. This is the best dashboard for day-to-day workflow monitoring.
  • Use the Asset Workflow - Activity dashboard for performance reporting: Use this dashboard to report on workflow volume, throughput, completion time, cancellations, and stage returns over time. This is the better dashboard for monthly or quarterly reviews.
  • Compare jobs created with jobs completed: If jobs created are consistently higher than jobs completed, work may be accumulating. This can indicate a capacity issue, inefficient review process, or unclear ownership.
  • Monitor stage returns: Stage returns can indicate rework. A high number of stage returns may point to unclear briefs, incomplete assets, inconsistent review criteria, or misalignment between requesters and reviewers.
  • Review workflow presets regularly: If a specific preset consistently has long completion times or many active jobs in one stage, the preset may need to be redesigned.
  • Use workflow metaproperties for better reporting: To get the most value from these dashboards, make sure important workflow information is captured as metaproperties. Useful examples include content type, region, market, campaign type, request type, department, or project purpose.
