Custom Job Overview in Asset Workflow

Summary

Create a Custom Job Overview to simplify job search and organization for Workflow users. This customized overview allows filtering by Workflow metaproperty to easily locate open jobs based on specific criteria.

The job overview includes default filters in your Asset Workflow. These predefined filters are: campaign, responsible, involvement, reporter, text, and status.

Note

Share a specific filtered view with another user in the Asset Workflow by applying filters in the custom job overview, then simply copy and share the URL.

Why? 

Every workflow is unique. By customizing your job overview, you can hide irrelevant information, highlight critical deadlines or job codes, and save specific search configurations to reduce manual filtering time.

How?

Create a Custom Job Overview

  1. Navigate to the Workflow tab.
  2. Select All Jobs >, which is located in the right-hand corner.
  3. Hover over the Pencil Icon to "Edit View" 

     
  4. Open the Filter or Column dropdown and select one of the available filters/columns. 
  5. (Optional) Select Custom Label to set up the custom labels for all available portal languages. 

  6. Repeat steps 4-5 to add additional filters/ columns.
  7. Select Save.

Search Bar

The search bar/filter is named Contains text, and it is automatically included but can also be added to a personalized filter configuration to specify its display order.

Understanding the Contains text Search

The Contains text filter is a powerful tool, but it follows specific logic to return results:

  • What it searches: It scans job names, campaign names, descriptions, accountable usernames, job notes, approval/order/job codes, and saved job metaproperty values.

  • Word Matching: The system matches characters from the beginning of each word.

    • Words are separated by spaces only.

    • Characters like dots (.), hyphens (-), and underscores (_) are treated as part of the word.

    • Example: Searching "Project" will find "Project-Alpha," but searching "Alpha" will not find "Project-Alpha" because there is no space before "Alpha."

  • Numeric Search: If you enter a purely numeric value, the system will check both text fields and the unique Job ID.

    • Note: This may occasionally return a job where the ID matches your number, even if that number isn't in the job name.

Tips for Success:

  • Enter at least 2 characters to trigger a search.

  • If your naming convention uses hyphens (e.g., MKT-2026-Campaign), search from the very beginning (MKT...) rather than a middle segment.

  • To find a specific job by its ID, use the exact number found in the ID column.

  • For complex naming conventions, use Metaproperty filters instead of text search for higher precision.

Bulk Edit A Custom Job Overview

1. Navigate to Asset Workflow, open a campaign, or go to the job overview.

2. Select up to 30 jobs to edit. 

3. Click the pencil icon within the floating bar at the bottom-middle of the page, then select the desired action for the jobs selected. Ex: Update campaigns, accountable, or deadline.

  • Click the trash button to remove jobs.

Your changes will be updated accordingly. 

Edit a Custom Job Overview

  1. Navigate to the Asset Workflow tab.
  2. Select All Jobs > in the right-hand corner.
  3. Select next to the filter to delete.
  4. Select next to the filter to hide. 
  5. Click Save.

FAQs

Can I switch back to the default job overview screen?

Yes, to switch back to the default filter setup, remove all custom job filters by clicking the x next to each one.

  1. Remove all custom column filters by clicking the x next to each custom column.
    Note
    This action is permanent and cannot be undone.
  2. Click Save to save the changes and switch to the default filter and column setup.
