Storage and User Seat Limits Dashboard in Light Analytics

The Storage and User Seat Limits Dashboard in Light Analytics provides detailed insights into storage consumption and user seat allocations within your portal. This tool helps you monitor portal resources, analyze usage trends, and manage capacity effectively.

The legacy Cockpit page is being deprecated. Storage metrics and user seat limit data previously found in the Cockpit are now consolidated in this dashboard, located at Analytics > Storage (/b-analytics/storage).

Light Analytics is enabled by default for all Bynder portals at no extra cost.

Who?

All active Bynder portals have access to Light Analytics by default. Users with the following permission can view and download these reports:

  • View reporting

Why?

Monitoring storage usage and user seat limits helps administrators manage account resources and optimize portal efficiency. Use this data to:

  • Track overall storage usage across Asset Bank, Asset Workflow, and Bynder Express.

  • Analyze storage breakdown by original assets, derivatives, and file types.

  • Identify opportunities to clear outdated assets or transfers to recover space.

  • Review user seat limit allocation to ensure active licenses match your organization's needs.

How?

Accessing the Dashboard

  1. Log in to your Bynder portal.

  2. Navigate to Analytics > Storage (or go directly to /b-analytics/storage).

Metrics Breakdown

User Seat Limits

  • Total Allocated Seats: Displays the current number of assigned user seats compared to your portal's maximum seat allowance across all user profiles.

  • Active vs. Inactive Accounts: Helps you evaluate user profile distribution and reallocate licenses when necessary.

Total Storage 

Displays total portal storage used in gigabytes (GB). This includes:

Storage Breakdown Reports

  • Storage by Solution: Displays storage usage split between Asset Bank and Asset Workflow within your selected timeframe.

  • Asset Bank Storage: Shows total space used specifically inside the Asset Bank during the selected timeframe.

  • Asset Bank Storage by Original vs. Derivatives: Distinguishes between storage consumed by original source files and generated derivatives.

  • Asset Bank Storage by Asset Type: Breaks down storage usage across asset types (such as images, videos, and documents).

  • Transfers Storage: Indicates space used for Bynder Express transfers within the selected timeframe. Expired and revoked transfers are excluded from this total.

  • Workflow Storage (if Asset Workflow is enabled): Displays storage consumed inside Asset Workflow during the selected timeframe.

  • Workflow Storage by Source (if Asset Workflow is enabled): Details the origin of Workflow storage, including imported Asset Bank assets and Print Brand Templates.

Note: Monitor Bynder Express transfers regularly to ensure transfer space is used efficiently.
