Understanding Advanced Filters Within Smartfilters

Summary

Advanced filters, within Smartfilters, allow users to search and classify their assets to match the content and their needs. Advanced smartfilters have extensive options, from asset type filtering to archive date filtering. In this article we will discuss the available Advanced filter options from Bynder.

Who?

There are no permissions necessary to use this feature.

Why?

Managing your assets is a key principal of using a DAM, and Bynder makes it a snap with Advanced Smartfilters. Choose how you wish to search your assets using the metaproperties and metaproperty options associated with each asset. This allows for quick and easy asset management for all portal users, saving time and giving a clear overview of how the assets have been configured in your portal.

File Extension

The following file formats are displayed in the results when applying selected type filters:

  • Image: jpg, jpeg, gif, bmp, tif, tiff, ai, eps, psd, cr2, crw, nef, nrw, raw, dng, rw2, kdc, dcr, arw, sr2, mrw,  orf, 3fr, gng 
  • Video: mov, avi, flv, mp4, wmv, mpg, mpeg, vob, mkv, mxf, m4v, f4v, 3gpp, 3gp, ogv, ts, mts, m2ts, 3g2, 3gp, m2v, webm
  • Audio: wav, mp3, ocm, wma, m4a, ogg, aiff, aif, m4r: audio
  • Document: all the file types that are not mentioned above (for example, ZIP or INDD files) fall into this category,
  • 3D: 3ds, 3mf, blen, dae, drc, dxf, fbx, gltf, glb, lwo, obj, off, ply, rvm, skp, stl, u3d, xsi

Advanced Rights

  • Public: Select if you want to see assets that are marked as public. 
  • Archived: Select if you want to see if assets are archived.
  • Not Archived: Select if you want to see if assets are not archived.
  • Limited usage: Select if you want to see if assets are limited usage.
  • Not Limited usage: Select if you want to see if assets are not limited usage.
  • Watermarked: Select if you want to see if assets are watermarked.
  • Not Watermarked: Select if you want to find assets that do not have a watermark.
  • Downloadable: Select if you want to see if assets are downloadable.
  • Not Downloadable: Select if you want to see if assets are not downloadable.
  • Active: Select if you want to see all assets that are not archived or limited usage or watermarked. 
  • Not Active: Select if you want to see all assets that are archived or limited usage or watermarked

Duration

  • All: All videos will be shown.
  • Short (<5min): Only videos shorter than 5 minutes will be shown.
  • Medium (5-20min) Only videos with a duration between 5 and 20 minutes.
  • Long (>20min): Only videos longer than 20 minutes will be shown.

Resolution

  • Large: over 800 px wide
  • Medium: 200-799 px wide
  • Small: 1-199 px wide
  • Custom: Filter by asset dimensions that fall within a specified range. In the From field, enter the minimum resolution you want to search for, and in the To field, enter the maximum resolution. When the dimensions of one of the sides of the image fall within this range, the asset will be returned as a search result.

Date Added

Use the Date Added field to search for results that have been uploaded within a specific timeframe.

  • Last week: This will show assets uploaded within the past seven days, including today's date.
  • Today: This will show assets uploaded on today's date
  • Custom: This allows you to specify a start date and end date and will show all assets uploaded between those dates, including the specified days. Click on the  button to select a date range.

Publication Date

Use the Publication date to search for assets published on a specific date.

Archive date

Use the Archive date filter to find assets with a future archive date. 

Note: This does not pertain to limited usage or Watermark-date assets. This filter cannot look at historical archive dates, the archive date must be in the future.

Added By

Added By.png

Use the Added by field to search for assets uploaded by a specific user. You can search for active and inactive users. However, it is not possible to filter deleted users.

DPI

Use the DPI filter to select the dots per inch in the assets you wish to search for.

Showing Metaproperties In The Advanced Filter

Customers that have used the legacy Metaproperties Management page, and have a disabled the Main Filter setting, will see metaproperties appear in an additional column on the right side of the Advanced Filter.

 

Note: The metaproperties in the Advanced Filter will show the full list of MPOs, including empty options. Also, this list of MPOs will show the total number of assets tagged with these MP-options in the DAM and don’t filter (e.g. when viewing a collection). Furthermore, they do not respect Access Rights and will show MPOs that are hidden for a user. However, when such option is selected, no assets tagged with this option will be shown to the user.

FAQs

Can I search an archive date that has already passed?

No, you must select a date in the future. You can however select the Archived option under the Advanced Rights section, which will show already archived materials. 

Why are my limited usage images not showing with the future archive date?

This option is only for archive date, not limited usage or watermark-dates.
