How To Set Permissions For Metaproperty Options

Summary

Metaproperty options are the specific options within a metaproperty, for example the Metaproperty could be Region and the metaproperty options could be EMEA, APAC, or LATAM. Control access to specific metaproperty options; enabling you to hide assets tagged with those options from users who would otherwise have access. Additionally, you can prevent certain users or user groups from applying specific metaproperty options during asset uploads or edits. Remember that a user's permission profile and their permissions granted on a metaproperty options level will affect access. It's recommended not to grant users more permissions than their existing roles allow.

Users will need the Manage metaproperties and Manage metaproperty options permissions to use this feature. 

Why?

Bynder understands that only certain users should have access to specific metaproperty options, such as regional access, or brand-specific access. This permission setting is generally used to control the visibility of assets, ensuring assets are not shared where they should not be, and users are not overwhelmed by assets that are not relevant to them.

How?

Setting Access Rights For Metaproperty Options

  1. Navigate to Settings > Taxonomy > Metaproperties management.
  2. Navigate to or search for the metaproperty with the option for which you want to set the permission. 
  3. Select the metaproperty, then either navigate to or search for the metaproperty option. 
  4. In the right sidebar, click Access Rights. 
  5. Select the security access available options.

Setting Read-Only Rights For Specific Metaproperty Options

Users can select options from a metaproperty to set as read-only. Metaproperty options already associated with assets are still visible in the DAM; however, adding the metaproperty option to the read-only list prevents users from selecting this metaproperty option for any new or existing assets.

  1. Navigate to Settings > Taxonomy> Metaproperties management and click Configuration in the left sidebar.
  2. Click the metaproperty that has the metaproperty options to be set as read-only.
  3. Select Settings in the right-hand sidebar.
  4. Click on Read Only Options.

  5. Search and select from the list of metaproperty options. All users cannot tag assets with these options, including Admins.

Available Metaproperty Options Access Rights

  • Show media: This option overwrites the Hide by default setting. If you have decided to hide assets with the Hide by default metaproperty option, the users with the Show media permission will still be able to see those assets. 
    • This option will not grant permission to view specific archived or watermarked assets to users who do not have the correct rights to see this type of material in their permission profile.
    • The Show media permission only works with the Hide by default metaproperty option and can't be used standalone.
    • Users who have permission to access some metaproperty options within a metaproperty, but do not have permission to access all of the metaproperty options will still be able to see the asset. If this functionality is not desired, reach out to Customer Support to turn off this setting.
  • Hide media: Assets tagged with this permission will be hidden from users. The Hide media permission overrides any other permission or restriction set for a different option within the same metaproperty, including the Show media option. For example: A user with access to the EMEA metaproperty option, who does not have the APAC metaproperty option within a  Region metaproperty could see the asset, however, if the APAC metaproperty option has Hide media enabled they will not be able to see the asset at all. 
  • Add & publish media: This permission allows users with Upload assets with Mandatory Approval permission to skip the approval flow for this metaproperty option. Otherwise, the user will need to go through the approval flow and the asset will go to the Waiting Room. If a user is uploading an asset with more than one metaproperty option, and the user only has access to some of the metaproperty options, the asset will go to the Waiting Room for approval.
  • Edit media: This permission allows users to edit media tagged with this metaproperty option even if they don't have the general Edit assets permission enabled in their profile. Users can always edit media if they have the general Edit assets permission. This permission allows users to have full edit rights to the assets tagged with a metaproperty option they have access to. This means they can also edit other metaproperties, tags, and options the asset is tagged with.
  • Remove media: This permission allows the user to delete assets tagged with this option as long as the Delete Assets permission is enabled in the users permission profile. In order to stop users from being able to delete certain assets, while allowing them to delete most assets, add the user to the metaproperty option, select at least one permission, and do not select the Remove media permission. This will disable the user from being able to delete assets tagged with that specific metaproperty option, while allowing them to delete other assets still. 
  • Audit uploaded media: Allows users to access the Waiting Room and audit upload requests of assets tagged with this metaproperty option. This option must be enabled to enable email notifications for upload requests. Users who gain audit permissions for this metaproperty option will receive an audit email notification.
    • Granting a permission profile, user group, or user with this permission will not give this permission profile, user group, or user general audit rights. They will have access to the Waiting Room but can only see the assets tagged with the metaproperty option(s) they have access to. 
    • If an asset is tagged with multiple metaproperty options, a user only needs "Audit upload requests" access for one of those options to see and audit the asset.

    • For the metadata added by the uploader to appear on the asset after approval, auditors must have either general “edit assets” permission or “edit media” access for every metaproperty option the asset is tagged with. 

    • Important: If an auditor approves an asset but lacks "Edit" permissions for all its tags, the uploader’s metadata will not display once the asset moves into the DAM.

  • Audit download requests: This permission allows users to access the Waiting Room and audit download requests of watermarked assets tagged with the metaproperty option they have access to. This option must be enabled to enable email notifications for download requests. Users who gain audit rights from this permission will receive an audit email notification.
    • Granting a permission profile, user group, or user with this permission will not give this permission profile, user group, or user general audit rights.
    • Disable option in upload & edit: This permission prevents users, profiles, or groups from seeing or selecting the metaproperty option during the upload and edit process. The metaproperty option becomes read-only in this case.

FAQs

If I have audit rights does that mean I have edit rights?

Yes, if a user has any audit rights, either general or on a metaproperty option level, they will have edit rights.
