Understanding The Asset Permission Viewer

Summary

Metaproperty options allow users to set asset permissions, restrict access, and edit, audit, or delete assets. If users experience access issues or if an overview of permissions is needed for a specific asset, the Asset Permission Viewer offers a quick, centralized solution to verify who can interact with that asset.

Users with the Manage Metaproperty Options permission can use the Asset Permission Viewer.

Why?

As a Bynder admin, you can enforce secure asset management and operational efficiency by tagging assets with specific metaproperty options to restrict access. This ensures that only designated users, user groups, or permission profiles can view, edit, or delete specific digital assets.

How?

Checking Asset Permissions

  1. Navigate to your Asset Bank.

  2. Open the specific asset, and click on the Info tab within the Asset Detail View.

  3. Locate the Asset metaproperty permissions section and click View asset permissions.

    • Note: This button is only visible if the permission is set and your user profile has the required access.

  4. Review the Asset Permission Viewer overlay:

  5. The viewer displays all metaproperty options applied to the asset and the associated permissions for each.

  6. Metaproperty options are indicated by a specific icon.

  7. Permissions are broken down by permission profile, user group, or individual user.

  8. If no restrictions exist, the viewer displays: "No asset permissions have been set."

  9. To modify permissions directly from this screen, click the Edit button next to any listed metaproperty option.

Example 1(Single Restriction)

An asset with the "North America" metaproperty option selected is restricted. Only designated user groups (e.g., North America - Content Managers) can access it; all other users are blocked.

Example 2 (Multiple Restrictions)

An asset has both the "United States" and "Photo" metaproperty options selected.

  • The viewer indicates the "United States" option is hidden for the EU-only user group.
  • The "Photo" option is hidden from the Light Workflow User permission profile.
  • Result: Users in the EU-only group who are also assigned to the Light Workflow profile cannot view this asset.

Example 3 (Verification)

A user wants to confirm which groups can see an asset tagged as visible to the Creative group only.

The viewer shows the option set to Creative. All other user groups or permission profiles appear as hidden, confirming exclusive access.

Technical Constraints & Important Notes

  • Missing Button: If the View asset permissions button is not visible, either no permissions have been set on the asset, or you lack the Manage Metaproperty Options permission. Contact your Bynder Admin for assistance.

  • Restrictive Logic: By default, assets tagged with multiple permissions are not visible to users unless they have all the necessary permissions to view them.

  • Portal Configuration Exception: Depending on your unique portal configuration, users may be allowed to view assets tagged with multiple options from the same "hidden by default" metaproperty, even if they do not have individual access to every option.
