How To Access And Export Analytics Reports

Summary

Bynder Analytics provides a comprehensive overview of portal traffic and usage. Before exporting your data, you can customize your report using time frame filters and date granularity to tailor the data to your specific needs, such as by date range, user group, or specific collections. Once you've exported the reports you can share them with stakeholders to provide insights into Bynder performance and usage.

Accessing Analytics Reports

  1. Navigate to mceclip2.png Settings > Reporting > Analytics.
  2. Click the dashboard that you would like to view in the left navigation.
  3. You can also apply filters to some dashboards to make your report more specific. For example, you can set a specific time frame and date granularity.

Exporting Analytics Reports and Dashboards

  1. To download the dashboard or report, click on it and select Download or Download Data.
  2. You can download the entire dashboard or an individual graph/data point.
    • By default, exports and drill-downs show only the first 500 rows. This is a default preview limit, not a hard ceiling on how much data you can pull — see Set Your Custom Limit below to export beyond it.
  3. For some of the Numbers widgets (you can recognize them while hovering over them — the number will get underlined), you can also click on the underlined number to explore data points by the user or see the data points in the drill-down by clicking "Show all." 

  • Clicking Show All will drill down the data. However, the expanded view will only show the first 500 rows by default. If your data has more than 500 rows, you'll see a warning that additional rows exist.

Set Your Custom Limit

The 500-row limit is only a default — you can raise it (or remove it entirely) before downloading. Your options depend on your Analytics tier:

As An Advanced Analytics User

  1. Click Download > Advanced data options > Number of rows to include > All results.
  2. This removes the 500-row cap entirely and pulls the full dataset.
  • When downloading this many results, we recommend using the .CSV format. For very large datasets (e.g. into the millions of rows), generation can take up to around 10 minutes.

  • Tip for very large portals (150k+ assets): even a full export can time out. Filtering by asset type or another dimension before exporting can help the report generate successfully.

As A Light Or Standard Analytics User

  1. Click Download > Advanced data options > Number of rows to include > Set your custom limit.
  2. Light and Standard users can raise the limit up to a maximum of 5,000 rows (the "All results" option is only available to Advanced Analytics users).

Note: Do not navigate away from the screen while downloading.

Can I schedule reports for my dashboards? If Advanced Analytics is enabled, you can schedule reports and even create alerts.

Who is the anonymous user? The Anonymous User in your Analytics accounts for the actions of external users who are not logged in.

How can I quickly identify users who have downloaded specific assets so I can contact them and inform them not to use it since it's an outdated version? Starting on September 2 as part of our September Product Release, you can view the user's first and last name directly inside the dashboard and drill down by the user's email address.
