Field Overview and Limits

Summary

Every batch upload in Workspace shows the same set of fields, grouped by category and in a fixed order. Some fields have a character limit, and some depend on your portal settings or your permissions. This article lists the order of the fields and the known limits per field, so you know what to expect when you enrich files in a batch.

Who?

Batch Uploads in Workspace are available to Publishers with Access Workspace and Upload assets permissions, and Requesters with Access Workspace and Upload assets with mandatory approval permissions.

How?

Find a field in a batch upload

A batch can have many fields, especially in portals with a large taxonomy. Knowing the order and the groups helps you find the field you need faster.

The File column is always shown and can't be hidden. The other fields are grouped in this order:

  • General: Name, Description

  • Taxonomy: The Single select, Multi select, Text, and Date fields configured for your portal

  • Advanced rights: Make public, Mark as archived, Allow download, Show watermark, Mark as limited usage

  • Additional properties: Publication date, Copyright, Tags, Collections, Related assets

Which taxonomy fields you see, and in what order, is set by your administrator in taxonomy management. What you see may differ from the example above.

For more on showing and hiding columns, see Manage Columns in a Batch Upload.

Stay within character limits

Some text fields have a maximum length. Knowing the limits helps you avoid losing text in long names, text fields, or copyright notices.

Field Character limit
Name 400 characters
Description No limit
Text (Taxonomy Metaproperty) 2,500 characters
Copyright 250 characters
Tags 200 characters
What happens when you go over the limit depends on the field:
  • For Text and Copyright, the field shows that the limit is exceeded, and you can't add more characters

  • The user can save the input but it will be saved only up to the given limit. This is applicable for Tags and Name.

Check which Settings and Permissions affect a Field

Some fields depend on how your portal is set up or which permissions you have. If you don't see a field or can't use it as expected, check the table below with your administrator.

Description No settings or permissions apply.
Single select, Multi select, Text, Date (taxonomy) Visibility, use, and order are set in taxonomy management.
Mark as public Requires the Mark assets as public permission.
Mark as archived No settings or permissions apply.
