Move from the Main Uploader to Workspace Batch Uploads

Summary

If you upload assets with the Main Uploader, you can now move to Workspace Batch Uploads, which is built for uploading in bulk. In the Main Uploader, you have to upload, enrich, and publish all in one go. Workspace Batch Uploads separates uploading from enriching and publishing, so you upload and stage files into Workspace first, enrich across multiple sessions, and publish them incrementally or together to the asset bank. This article explains what changes when you move over.

Who?

This article is for anyone who currently uploads assets with the Main Uploader. Workspace Batch Uploads is available to Publishers with Access Workspace and Upload assets permissions, and Requesters with Access Workspace and Upload assets with mandatory approval permissions.

Why?

Moving to Workspace Batch Uploads means you no longer have to finish an upload in one go. You upload your files first, then review and add metadata in the batch, then publish or submit for approval when you're ready. Autosave lets you return to a batch you haven't finished, and you can bulk edit metadata for many files at once in a spreadsheet-like List view. Your files stay outside the Asset Bank until you publish them or submit them for approval.

How?

Understand what changes

The order of steps and the place your files wait before publishing are different. Knowing what changes helps you plan your first batch.

Area In the Main Uploader In Workspace Batch Uploads
Workflow One step: prepare offline, then upload, enrich, and publish together Separate steps: upload, stage, enrich, publish
Where files land Straight into the Asset Bank or the Waiting Room for Approval Staged outside the Asset Bank until you publish or submit for approval
Working across sessions Finish in one go Autosave lets you return to unfinished batches
Editing metadata For more than 250 assets, use Mass Uploader and spreadsheets Bulk edit in a spreadsheet-like List view, plus Grid view
Parallel uploads Up to 5 at one time Up to 10 at one time

Start your first batch

Starting a batch takes the place of starting an upload in the Main Uploader. Batch size limits apply to each batch, not to each upload, and you can create as many batches as you need. To get started, go to the Uploads page in Workspace and click Upload. For the steps and limits, see [Link: Upload files into a batch]. To publish your files when they're ready, see [Link: Publish files from a batch upload].

Review deprecated features

Some Main Uploader features are deprecated and aren't available in Workspace Batch Uploads. No workarounds are available for these features. Reviewing them before you move helps you know what to expect in your first batch.

Review limitations in Workspace Batch Uploads

The following Main Uploader settings don't apply in Workspace Batch Uploads. Knowing which settings don't carry over helps you plan how your team works in a batch.

Setting In the Main Uploader In Workspace Batch Uploads Workaround

Custom fields In Main Uploader there is a section called Custom fields where some of the metaproperties are grouped. This section of custom fields doesn’t exist. No workaround currently available.
