Manage Columns in a Batch Upload

Summary

Column management lets you control which columns appear in List view, so the table shows only the fields you're actively working with. You can show or hide columns from the Columns menu or hide a single column directly from its header. Hiding a column changes the List view layout only: the field is still available in the inspector, and column visibility resets when you refresh the page or leave the batch.

Who?

Batch Uploads in Workspace are available to Publishers with Access Workspace and Upload assets permissions, and Requesters with Access Workspace and Upload assets with mandatory approval permissions.

How?

Show and Hide columns from the Columns Menu

Use the Columns menu when you want to toggle several columns at once or scan the full list of available columns. The menu groups columns by category and includes a search field, so it's the better choice when there are many columns to work through.

1. Open a batch upload in List view.
2. In the top right of the batch, click Columns.
3. In the menu, toggle a column on to show it in the table, or off to hide it. Changes apply right away.
4. To find a specific column, type any part of its name in the Search field at the top of the menu. The list filters to columns whose names contain the text.

The File column is always shown and is not listed in the Columns menu.

Columns are grouped in the menu in this order:

• General: Name, Description
• Taxonomy: the single select, multi select, text, and date fields configured for your portal
• Advanced rights: Make public, Mark as archived, Allow download, Show watermark, Mark as limited usage
• Additional properties: Publication date, Copyright, Tags, Collections, Related assets.

The columns shown in the Taxonomy section depend on how your portal is configured, so what you see may differ from the example above.

Hide a Column from its Header

Hiding from the header is faster than opening the Columns menu when you only need to clear one column out of the way while you work.

1. Open a batch upload in List view.
2. Hover the header of the column you want to hide. A three-dot menu appears on the right side of the header.
3. Click the three-dot menu, then click Hide column.

The column is hidden right away. To bring it back, open the Columns menu and toggle the column on. The two controls stay in sync, so any column you hide from the header also shows as off in the Columns menu.

The three-dot menu doesn't appear on the File column header, since File can't be hidden.

Find a Hidden Field in the Inspector

Hiding a column changes what's visible in the table, not what fields exist on the asset. If you need to edit a field you've hidden from List view, open the asset in View mode or select assets in Selection mode and use the inspector. Every field is available in the inspector, including ones you've hidden from the table.

Column Visibility and Views

Column management is available in List view only. The Columns button isn't visible in Grid view, and the three-dot menu doesn't appear on column headers there.

If you hide columns in List view and then switch to Grid view, your hidden columns stay hidden when you return to List view in the same session. Column visibility resets in these cases:

• You refresh the page.
• You leave the batch and return to it, including returning to the same batch.
• You open a different batch.
