Understanding Your SFTP or S3 Asset Export Scope

When requesting a bulk export of your assets via SFTP or Amazon S3—whether for auditing purposes or data migration—it is important to understand exactly what data is included in the standard export and the timelines for data retrieval.

Who?

  • Portal Administrators: Users with the Access admin panel and Manage settings permissions enabled.

  • Technical Leads: Users responsible for configuring the receiving SFTP/S3 server.

  • Legal/Compliance Teams: Users who need to verify data retention and purged-data timelines.

Why?

Clarifying the scope of an export ensures that your team receives the necessary data for your specific use case and helps prevent data loss by adhering to strict security and retention windows.

How?

By default, a standard Bynder asset export is designed to provide the most current and relevant version of your library.

Standard Export Inclusions:

  • Current Asset Version: The most recent version of all requested files.

  • Media Report: A comprehensive CSV/XLS report listing all exported files and their associated metadata fields.

Standard Export Exclusions:

  • Removed Files: Any assets currently in the "Deleted" or "Trash" state.

  • Version History: Older versions of files (only the current version is included by default).

  • Additional Files: Supporting files attached to an asset (e.g., a PDF brief attached to a JPG) are not included unless explicitly requested.

Retention and Access Timelines:

  1. Bynder-Provided SFTP: You have 60 days to download your files. After this window, the SFTP will be cleared for security purposes.

  2. Client-Provided S3/Destination: The 60-day limit does not apply; however, follow-up support is limited by your portal status.

  3. Portal Closure: Once a Bynder portal has been closed for 90 days, all data is permanently purged and cannot be restored or exported.

Note: If you require older versions or "Additional Files" to be included, you must explicitly state this in your initial request to your Customer Success Manager contact.
