Dropbox Integration

Summary

Dropbox is a cloud storage solution for individuals and enterprises. Dropbox is used to manage, share, and collaborate on digital files. Dropbox can store the most common file types and enables access for individuals anywhere across multiple platforms

By integrating your Bynder portal and Dropbox account you are able to seamlessly connect assets between the two by automatically moving assets in your Dropbox Account to Bynder, without downloading from Dropbox and re-uploading to Bynder. Non-Bynder users will now be able to add assets in Dropbox and have them automatically added to your DAM.

This integration is meant to serve as a ‘hot folder’ for other teams at your organization to drop in files, then those files can be automatically pushed to Bynder. If you have a large amount of content on Dropbox that you would like to migrate to Bynder, we recommend leveraging our Media Import option.

This feature/solution requires your Customer Success Contact to enable, but then individual permissions can be done by the Bynder Admin.

How?

Setting up the Dropbox integration

  1. Log in to Bynder and navigate tobrand_guidelines_image_settings.png Settings > Advanced settings> Portal settings.
  2. Click Browse Integrations in the left sidebar then click Configure in the Dropbox section.
    • On this page, you will also see all the other Integration Hub options that are part of the Standard Integrations Hub package
    • If you have purchased just one Google Drive connection, please select the Google Drive option. If you have the Standard Integrations Hub option as part of your contract, this allows you to have up to five integrations configured from this page. You are able to see how many connections you have available:

  • Please note that a ‘configuration’ means setting up one of these connections one time. If you set up the Google Drive connector three times to connect three folders, that counts as three configurations.
  1. Enter a Name for this configuration.
  2. If you've already configured a Bynder connection, it will be selected. If not, select New authentication to add your Bynder credentials:
    • Your authentication name: Enter a name for the authentication.
    • Domain: Enter your unique domain by copying the URL of your Bynder portal (including https://).
  3. Click Create, then Next.
  4. On the Upload Options page, use the Filetype Filter to select whether you want to allow all file types, blacklist or whitelist certain filetypes. If you choose to set up a blacklist or whitelist, an additional text field will appear below where you can add which file extensions you want to block or allow.
  5. On the bottom of the page, select the Send to Waiting Room check box if you would like all assets from Dropbox to be sent to the Waiting Room for approval. Please note that each file will be loaded separately to the Waiting Room and will not come in batches. Click the Next button to move to the next page.
  6. On the Dropbox Configuration page, select New authentication and then add new to log into your Dropbox account
  7.  On a separate tab, go to your Dropbox account and copy the URL of the folder that you would like to sync with Bynder. Navigate back to Bynder and paste in the Dropbox Folder URL section.
    Note: It is best to obtain the URL from the folder itself, and not from the address bar, which may cause a failure.
  8. Include Sub-folders: You can choose whether sub-folders in the selected folder will also sync to Bynder.
    • Check the box if you would like assets in the sub-folders to be synced to Bynder.
    • Leave the box unchecked if only assets uploaded to the folder selected should be uploaded to Bynder.
  9. Click Next.
  10. Metadata Mapping: You can automatically add certain metaproperty values to all assets that are synced from Dropbox. For example, if you know that you’ll only be syncing images from Dropbox, you can set the Asset Type metaproperty to Images. Please note that this is not a dynamic mapping; all assets coming from Box to Bynder will be tagged with the fields you select here.
    • Click Add a new mapping.
    • Click Choose an option under Bynder Metaproperty and select a field from the dropdown.
    • In the Value section, enter the option that the synced assets should be tagged with.
    • Click Add a new mapping to add additional metaproperties.
  11. Click Next, then Finish on the next tab.

Using the integration

After configuration, all selected assets in the selected Dropbox folder(s) will upload to your portal’s Asset Bank after about 2 hours. Moving forward, any assets added or moved to the selected folder (or subfolders) in the configured Dropbox account will automatically be uploaded to the Asset Bank after about 2 hours.

If you delete an asset from your Dropbox account, it will not automatically be reuploaded to your Bynder DAM. If you delete a Dropbox asset from your Bynder DAM it will remain in your Dropbox account.

 

Editing the integration

If you would like to disable the integration, update your synced folder, or edit your Dropbox credentials, you can edit the configuration.

  1. Navigate to Settings >Advanced settings >Portal settings
  2. Click Active Integrations in the left sidebar, then Edit in the section of the connection that you would like to update
  3. Make your changes, then click Save

Which file types are supported?

Any supported file type can be added to your portal. For a complete list of file types click here.

What happens to the asset if I delete it from my Bynder portal (or visa versa)?

If you delete an asset from your Bynder portal the asset will remain in your Dropbox account, and if you delete an asset from your Dropbox account it will remain in your Bynder portal.

Does the integration support versions?

At this time it does not support versioning.

Is a specific Dropbox account type required for the integration?

No, any account type will work for the integration.

What if we have multiple Dropbox accounts or folders that we want to sync?

Each Dropbox account or folder will need to be configured and connected. There is not currently a limit to how many accounts that you can configure.

What is the intended use case and best practice for this integration?

Due to metadata mapping limitations, this may not be ideal for a large migration of content from Dropbox to Bynder, but instead an ongoing push of content from a Dropbox ‘hot folder’ into Bynder.
