Understanding the View Users Permission

Summary

The View Users permission controls whether a user can see and search the list of users in your portal. It is enabled by default for the default permission profiles created with a new portal. Admins can turn it off for specific permission profiles. Without it, user search fields return no results in some parts of your portal, such as sharing and the Trash filters.

Who?

  • Admins with the Manage permission profiles permission can turn View Users on or off for a profile.
  • The setting affects every user assigned to that profile.
  • Users with one of the permissions listed under Permissions that override View Users are not affected, even when View Users is off.

Why?

Many features need to look up people in your portal, for example when you share an asset with a colleague or filter by the user who removed an asset. View Users controls that lookup. Turn it off for profiles that should not see other users’ names. Before you do, review what changes for those users.

What changes without View Users

Users without View Users cannot see the full list of users in some parts of your portal. Typing a name into a user search field returns no results.

Where What happens without View Users
Sharing assets or collections You can still share with a user group, but you cannot find and select a specific user.
Trash Filtering by Removed by returns no results.
Metadata presets You cannot search for specific users when you set preset visibility.

This list does not cover every case. Any field where you search for a user can be affected.

Permissions that override View Users

Users with at least one of these permissions can still see the list of users and use your portal without these limits, whether View Users is on or off:

  • Manage users
  • Manage user groups
  • Manage Bynder permanent API tokens
  • Manage OAuth apps
  • Create Bynder API tokens

This way, admins who manage users and API tokens are not blocked if View Users is removed by accident.

How?

Turn View Users on or off for a permission profile

  1. Go to Settings > Users & rights > Permission Management.
  2. Select the permission profile in the left sidebar.
  3. Find View Users under Users & Permissions.
  4. Select the checkbox to turn the permission on, or clear it to turn it off.
  5. Click Save.

Fix a user search that returns no results

  1. Go to Settings > Users & rights > User Management and check which permission profile the user has.
  2. Open that profile in Permission Management and check whether View Users is on.
  3. If it is off and the user needs to find other users, turn it on. Alternatively, assign a profile that includes one of the overriding permissions above.
