How To Create And Manage Permission Profiles

Summary

In Permission Management, you can create and manage permission profiles. A permission profile is a pre-established collection of permissions that determines your users' actions in their portal and which Bynder solutions they can use. These permissions range from basic access, like viewing and downloading assets, to more advanced rights such as managerial and full administrator rights. Once you've created a Permission Profile you can begin to add users and assign them to their respective profiles.

 Who?

Bynder Administrators with the Manage Permission Profiles permission can create permission profiles.

Why?

Constructing the correct permission profiles in integral to maintaining a secure and well-working portal for your company and your users. Ensuring users have access to only what is necessary for their specific duties allows Bynder Admins to sustain a secure and manageable portal experience for all.

How?

Creating A Permission Profile

  1. Navigate  to Settings > Users & rights > Permission Management.

  2. Click the configure-users_plus-sign.png button to add a new permission profile.

  3. Enter the Profile Name and Save. Bynder recommends naming these profiles very specifically for the roles that will use the profile.

  4. Click Save.

  5. Select the newly created permission profile and click the empty_box.pngbox. Begin checking the permissions you need associated with this permission profile.

  6. Permission dependencies: Some permissions are dependent on others. When relevant, you'll see a tooltip explaining which other permission(s) need to be enabled in conjunction with that permission.

  7. (Optional) You can make this permission profile or others in your account the default profile for your users.

    • Navigate to the permission profile and click the three_dots.png  button and check the Set as a default profile section.

  8. (Optional) If you are making multiple permission profiles and want to save time, you can duplicate them. Select the permission profile you want to duplicate and check the Duplicate Profile section.

Deleting A Permission Profile

  1. Ensure user accounts are no longer assigned to the permission profile you are deleting. Otherwise, the permission profile cannot be deleted.
  2. Navigate to Settings > Users & rights > Permission Management.

     

  3. Navigate to the left sidebar to find the permission profile you want to delete. Click the three_dots.png button and select Delete profile.

  4. Read the warning message and click Yes, delete if you wish to remove the permission profile permanently. This action cannot be undone.

Assigning Users To A Permission Profile

Note: A user can belong to one permission profile only.

  1. Navigate to Settings > Users & rights > User Management.

  2. Either navigate or search for the user and click the three_dots.png button next to the user name.

  3. Select the edit-metadata_pencil.png button.

  4. Under Set user profile, select the permission profile from the dropdown.

  5. Click Save.

Batch Updating Multiple Users Permission Profiles

  1. Navigate to Settings > Users & Rights > User Management.

  2. Search for the users you want to update the permission profile.

  3. Check the box next to the user(s) you are batch updating.

  4. Click the button in the top navigation bar, then enter the name of the permission profile you want to assign.

  5. Click Save.

Note: In the top navigation, you can filter for a specific permission profile by clicking Profile and selecting it from the dropdown.

 

FAQs

I would like to compare permission profiles. How can I do this?

Select multiple permission profiles to compare them. Alternatively, you can select the tick box at the top of the left sidebar to select all the permission profiles.

I tried to upgrade my user from a Regular to a Heavy user, but I don't have enough "seats", what do I do?

Each account has a user limit, and each level of permission profiles has a set number of "seats". If you need more users or more heavy-type users please connect with your Customer Success Contact to upgrade your account.
