How To Mark Assets As Archived

Summary

Archiving is a powerful tool to assist in the management and security of your portal assets. While archived, only specific users with the appropriate permissions can view and download these assets. Bynder recommends only heavy users/admins be given Archive permissions to ensure the security of your assets. 

Who?

This feature requires users to have the Edit Assets, Download non-public asset derivatives, View Archived Assets, and Upload Assets/Upload Assets with mandatory approval permissions. If you do not have the ability to archive assets contact your Bynder Admin to check your permission settings.

Note: To enable archiving for DATs reach out to your Customer Success Contact.

Why?

Archiving is part of the Advanced Rights section from the overview tab of the asset. Assets marked as archived will display an archived message on the assets thumbnail. Notifications can be enabled to inform users that have downloaded the asset that it will be archived. Archiving can be a required setting to assist in managing the assets lifecycle. 

How?

Archiving Assets

You can mark media to be archived on a certain date during upload or in the Asset Bank. 

  1. Upload a new asset or navigate to an asset you want to Mark as Archive.
  2. Select the asset and click Screenshot 2024-03-18 at 10.39.38 AM.png.
  3. Scroll to Advanced Rights.
  4. Select Label this media as archive (your portal might have slightly different wording). label_this_media_as_archive_.png
    • Select Now: This option will immediately archive the asset.label_this_media_as_archive_now.png
    • Select On (date): This option will automatically archive the asset on your set date and time. Until this day the asset will be visible to users in the Asset Bank. The date will display in the user's timezone or the portal's default timezone if the timezone has not been set.

  5. Click Save or Store selected files.

Mandatory Archive Date

To help manage your asset’s lifecycle, Bynder can enable a setting requiring all assets uploaded or edited to have an archival date.

This setting will impact assets uploaded via the front-end uploader and the editing of all assets. This setting will not be enforced with Version Updater, Mass Uploader, or API.

If you want to keep mandatory archival dates for API uploads, please ensure that you upload assets to the Waiting Room first so that the archive date cannot be bypassed.

FAQs

Why can't I archive an asset?

You may not have the correct permissions enabled. Contact your Bynder Admin if you feel this is a mistake.

Why can't I archive my DATs?

You must request this feature from your Customer Success Contact.

Can I notify my users before the archive date instead of on it?

Yes, please reach out to your Customer Success Contact for assistance with this feature.
