How To Mark Assets As Limited Usage

Summary

Limited Usage is a powerful tool to assist in the management and security of your portal assets. While marked as Limited Usage only specific users with the appropriate permissions can view and download these assets. Bynder recommends only heavy users/admins be given these permissions to ensure the security of your assets. 

Who?

This feature requires users to have the Edit Assets, Download limited usage assets, View Limited Usage Assets, and Upload Assets/Upload Assets with mandatory approval permissions. If you do not have the ability to archive assets contact your Bynder Admin to check your permission settings.

Why?

Limited Usage is part of the Advanced Rights section from the overview tab of the asset. The Limited Usage right can be set on an asset indefinitely or with a specific end date, similar to an embargo. While set as limited usage, only specific users with the appropriate permissions will be able to view and/or download these assets. Assets marked as limited usage will display Limited on the thumbnail.

How?

Marking Assets As Limited Usage

  1. If you are uploading assets, open the Advanced Rights section on the left-hand side of the upload page. To mark an existing asset as limited usage, click the asset in the Asset Bank, click the Edit tab on the right hand side of the asset detail page, then open the Advanced Rights section.

2. Select Limited usage (your portal might have slightly different wording).

  • Now: This option will immediately set the asset to limited usage. When the upload or edit is saved, the asset will be marked as limited in the Asset Bank.

  • Until (date): This option will automatically mark the asset as limited usage on the date and time that you set. After that time, it will be visible for users in the Asset Bank. The date will display in the user's timezone or the portal's default timezone if the timezone has not been set.

3. Click Save or Store selected files.

Note: If this feature is enabled for your portal, assets marked as limited usage will always be accessible to all users in shared collections, even for those users who do not have the appropriate permissions to access these assets in the Asset Bank.

 

FAQs

Why can't I mark an asset as limited usage?

You may not have the correct permissions enabled. Contact your Bynder Admin if you feel this is a mistake.

Why can't I mark my DATs as limited usage?

You must request this feature from your Customer Success Contact.

Can I unmark my asset as limited usage?
Yes, open the Advanced Rights section of the asset, in the Limited Usage section click no. Save the changes. This asset will no longer be marked as limited usage.
