Formatting your Items in Content Workflow

You can format your content in the item editor to ensure a smooth transition from Content Workflow to your publishing platform. 

Formatting Options

You can format content in any rich text field. If the field is set to plain text, you cannot change the formatting, and the formatting toolbar will be greyed out.

  1. Navigate to the item.
  2. The formatting toolbar is located at the top of the content editor.[CW] Formatting toolbar.png
  3. Click inside a text field or highlight a piece of existing text.
  4. Select the icon representing the formatting type you want to apply. If you've highlighted text, it will be updated to reflect the new formatting. 
  5. Formatting options include heading styles, bold, underlining, italics, strikethrough, hyperlinks, bullets, numbering, indenting, subscript, superscript, inline images, and tables.
  6. Any content you paste into a Content Workflow field will have the unnecessary styling removed, so you're left with clean HTML, ready for export into another system.
  7. Select[CW] Remove formatting.pngto clear all formatting.

Note: Add en and em dashes to your content by typing two hyphens (--) and three hyphens (---) respectively.

How to Add Hyperlinks

You can add a hyperlink to your text in 2 ways. 

Option 1:

  1. Highlight your text and click [CW] Hyperlink.png,
  2. This will open the hyperlink modal. Enter the URL and click apply.[CW] Formatbar Hyperlink.png

Option 2:

  1. Click into a text field.
  2. Select [CW] Hyperlink.pngto open the text and hyperlink modal.
  3. Type the text and URL to which you want to add a link and click apply.[CW] Text and Link .png
  4. When creating the link. This new text will be inserted at your current caret location.
  • By default, the new link will be set to open in a new tab. You can turn this off by clicking [CW] New window.png.
  • You can edit, copy, or remove a hyperlink by clicking on it to open the hyperlink editor.[CW] Edit hyperlink.png

Note: Hyperlinks set to open in a new tab will have the HTML attributes target=“_blank” and rel=“no opener no-referrer.” These attributes are added to strengthen the security of the target="_blank" attribute. If you prefer not to have these attributes added to the HTML, we recommend opening your hyperlink in the same tab instead.

Viewing and Copying An Item HTML

You can view and copy the HTML of content fields in an item or edit the whole item later when adding this content to your CMS.

Copy the HTML of a field of content

  1. Navigate to the item.
  2. Click [CW] 3dots menu.pngin the upper right corner of the field.
  3. Select View HTML from the menu.[CW] Field HTML.png
  4. This will present the field HTML modal with the option to copy the raw or formatted version.[CW] Field HTML example.png

View and copy the HTML of the whole item's content

  1. Navigate to the item and click[CW] 3dots menu.png.
  2. From the dropdown, click View HTML.[CW] View HTML.png
  3. You have two options for HTML to copy: Copy raw HTML and Copy formatted HTML.[CW] Item HTML.png
  4. Click Copy formatted HTML to make your HTML output easier to read.
  5. The HTML will contain additional lines around new tags, separating each field.

Note: We recommend you make any edits to the HTML in your CMS.

Keyboard Shortcuts

You can view the shortcut command list by clicking[CW] Keyboard Shortcut.png at the bottom left of an item.[CW] Shortcut commands.png 

Word and Character Count

  • To view the current word and character count of the item you're in, click on the word count at the bottom of the page.[CW] Word count.png
  • To change between words and characters, click the current word or character count to switch between them.
