How to Configure Bynder Express Look and Feel

Summary

Bynder Express is a secure file transfer tool built directly into your Bynder portal. It allows users to quickly share large files, including those not stored in your permanent Asset Bank, with both internal and external recipients. For example, a sales team member can share a lengthy product demo recording with a prospect without uploading the video asset to the portal's library.

Users can transfer files in two distinct ways:

  • Email: Sending a secure download link directly to specified recipient emails.

  • Link: Generating a shareable URL to copy and distribute manually through other communication channels.

⚠️ Important Storage Notice: Files shared via Bynder Express count toward your organization's total portal storage allocation. For this reason, administrators should avoid enabling the Never expiration option, as non-expiring transfers will consume storage space indefinitely.

This feature/solution requires Customer Support to enable, but then individual permissions can be done by the Bynder Admin.

Why?

Bynder Express empowers teams to securely transfer large files directly from the portal, eliminating operational risks and costs associated with relying on unmanaged third-party file-sharing tools.

Key benefits include:

  • External Sharing Flexibility: Share large, temporary files without cluttering your core asset repository.

  • Secure Delivery: Safeguard proprietary files with direct controls for internal and external recipients.

  • Storage Management: Enforce auto-expiration schedules to maintain rigorous governance and clear out storage space.

  • Tailored Configurations: Enable or disable share links, download tracking, or specific expiration windows based on your organizational security policy.

How?

  1. Navigate to Settings > Users & rights > Permission Management (or Permission Profiles).

  2. Open the specific permission profile(s) that require access to the file transfer tool.

  3. Locate and check the checkbox for the Access to Bynder Express permission.

  4. Click Save to apply the updated rights to the profile.

  5. Navigate to Portal Settings > Bynder Express.

  6. Click the Configure Bynder Express button.

  7. Under expiration durations, select at least one valid period: 1 Day, 1 Week, 1 Month, or Never.

    • Recommendation: Do not select Never. Files assigned to non-expiring transfers will count toward your storage limits indefinitely.

  8. Under sharing methods, select at least one method: Email, Link, or both.

  9. Click Save Changes.
