Revoking Bynder Express Links

Summary

Revoking a Bynder Express transfer is a manual action that immediately and permanently disables a shared download link before its scheduled expiration date. Revocation is used to secure mistaken deliveries, protect outdated or unapproved files, and instantly reclaim portal storage space. This action cannot be undone.

Who?

To manage and revoke transfers, users require specific permissions:

  • End-Users / Admins: Require the View personal transfer history permission to view and revoke their own active transfers.

  • Administrators / Managers: Users with the View transfer history from others permission can see transfers created by other individuals (e.g., for tracking purposes), but they cannot revoke them.

Critical Constraint: You can only revoke your own transfers. Admins cannot revoke transfers created by other users; the original sender must perform the revocation.

Why?

  • Data Security: Instantly cuts off access if sensitive files were accidentally sent to the wrong recipient.

  • Storage Optimization: Immediately removes the transfer's files from the portal storage allocation, rather than waiting for an automated expiration date.

  • Version Control: Prevents recipients from downloading files that are no longer current, valid, or approved.

How?

Revoking an Active Transfer Link You Generated

Follow these steps to permanently deactivate an active Bynder Express link:

  1. Click your name in the top navigation bar of your Bynder portal.

  2. Select Transfer history.

  3. Locate the specific transfer you want to deactivate.

    • Optional: Hover over the Recipients column to verify the recipient list, or hover over the Expiration column to check the scheduled expiry date.

  4. Click the Revoke option next to the relevant transfer.

  5. Confirm the revocation when prompted by the system

  6. Log in to Bynder.
  7. Navigate to Your Profile > Transfer History.
  8. Locate the link you want to revoke.
  9. Select the link and click Revoke.
  10. Read the warning message and select Revoke.

The link is deactivated immediately. Anyone attempting to use it will see a notification that the link is no longer active.

Revoke a Link Generated by Another User (Admin Only)

  1. Log in to Bynder with an administrator account.
  2. Navigate to Settings > Users.
  3. Locate the user who generated the link.
  4. Select Impersonate for that user.
    • This starts an impersonation session under the original user's account.
  5. Navigate to Your Profile > Transfer History within the impersonation session.
  6. Locate the specific link that needs to be revoked.
  7. Read the warning message and select Revoke.
  8. End the impersonation session.

The link is deactivated immediately upon revocation. End the impersonation session promptly to maintain accurate access logging.

Understanding Expiration vs. Revocation

Review how manual revocation differs from automated expiration:

Feature Expiration Revocation
How it happens Automatic, based on the date selected during sharing. Manual action taken by the original sender.
Timing Occurs precisely at the scheduled date and time. Immediate upon confirmation.
Who can trigger it System-automated; no action needed. Original sender only (Admins cannot trigger for others).
Effect on storage Files stop counting toward storage after expiry. Files stop counting toward storage immediately.
Reversible? No. No.
