In Guides, permissions are structured hierarchically. For example, if the guide is set to Public, all its chapters and pages will also be public. Similarly, sharing a guide with all users makes its content accessible to them as well.
- Chapters inherit permissions from the guide they belong to.
- Pages inherit permissions from their respective chapters.
Explanation of Permissions in Chapters and Pages
You can manage access at a granular level for specific users, user groups, or permission profiles.
- Editing restrictions: Limit editing rights to certain users while allowing others to view the content only.
- Team-specific pages: Make some content accessible only to designated teams.
- Selective page visibility: Hide certain pages in public guides from external viewers.
Access Levels in Guides and Landing Pages
Restricted Guides or Landing Pages
- Look for on the Guide overview or top bar to identify restricted guides.
- Only the Creator and users with Manager permission can view or edit restricted guides and landing pages by default.
- Certain plans allow sharing with individual users, groups, or permission profiles beyond the guide owner.
All Users
- Guides and Landing Pages with this setting are available to all users with access to this content.
- Permissions for editing or viewing are determined by the user's permission profile.
- Look for to confirm that a guide is accessible to all users.
Note:
Assigning specific Creator or Viewer permissions within a guide overrides general profile permissions. For instance, a user with only viewer access in their profile can edit a guide if assigned Creator permission for that specific guide.
Public Guides
- Public guides can be viewed by anyone with the link, including external users without portal access.
- Look this on the Guide overview or top bar to identify public guides.
Note:
Assigning View or Edit permissions in the Guide Access screen overrides general user permissions. For example, granting Editor permission to users without guide access allows them to view and edit that guide.
