Publish Files from a Batch Upload

Summary

Publishing moves assets from a batch upload into the asset bank, where they become available to other users. Depending on your permissions, you'll either publish files directly or submit the batch to reviewers for approval. Before either action goes through, Bynder validates each file and opens a review modal so you can confirm what's about to be published or submitted.

Who?

Batch Uploads in Workspace are available to Publishers with Access Workspace and Upload assets permissions, and Requesters with Access Workspace and Upload assets with mandatory approval permissions. Publishers use the sections below tagged (Publishers). Requesters use the section tagged (Requesters).

How?

Publish all files in a batch (Publishers)

Publish the whole batch when every file is ready and you want them live in one action. This is the path to use from Free mode or View mode, since both check every file in the batch regardless of what's selected or open in the inspector.

  1. Open a batch upload in Free mode or View mode.
  2. In the top right of the batch, click Publish.
  3. In the Review before publishing modal, confirm the count of files ready to publish.
  4. Click Publish X files.

Publish a selection of files (Publishers)

Publish a selection when only some files in the batch are ready, or when you want to release files in waves. In Selection mode, the publish action applies only to the assets you've selected, and the rest of the batch stays in place for you to keep working on.

  1. Enter Selection mode by checking the assets you want to publish.
  2. In the top right of the batch, click Publish X selected.
  3. In the Review before publishing modal, confirm the count of files ready to publish.
  4. Click Publish X files.

Review files before publishing (Publishers)

The Review before publishing modal opens every time you publish, so you can confirm what's about to go to the asset bank before you commit. The modal shows how many files are ready, flags any that aren't, and adapts based on what it finds.

When all files pass validation, the modal shows a green checkmark with the count of files ready to publish. Click Publish X files to proceed.

When some files pass and others don't, the modal shows both: a green checkmark with the count of files ready to publish, and a warning with the count of files that won't be published. Click Show details to expand the warning and see why files are failing, grouped by reason:

  • Files failed to upload, for files that didn't finish uploading.
  • Files are missing required fields, for files where one or more required fields are empty.

Click Publish X files to publish only the files that are ready. The files with issues stay in the batch so you can fix them and publish them later. Or click Cancel to close the modal without publishing anything.

When no files pass validation, the modal shows zero files ready to publish and the Publish button is disabled. Click Show details to see what's blocking each file, then click Cancel to return to the batch and resolve the issues.

View published files in the asset bank (Publishers)

After a successful publish, jump to the asset bank to confirm your files are live and start working with them. A confirmation toast appears at the bottom of the batch with a shortcut to take you there.

  1. After publishing, locate the Successfully published X files toast at the bottom of the screen.
  2. Click View files to open the asset bank.

Request approval for a batch (Requesters)

If you have the Upload assets with mandatory approval permission, you submit the batch to reviewers for approval. Reviewers then approve or reject the files from the Waiting Room before they go to the asset bank. Unlike publishers, you can't submit files in waves: every file in the batch must pass validation before you can create the request, and you submit the whole batch at once rather than a selection.

  1. Open the batch upload.
  2. In the top right of the batch, click Request approval.
  3. In the modal that opens, confirm the details:
    • If every file is ready, the Request approval modal shows the count of files ready to be submitted and lists the reviewers who can audit the request. Click Create request to submit the batch. Reviewers are notified when the request is created.
    • If any files have issues, the Review before requesting approval modal opens instead and lists the issues to resolve, grouped by Files failed to upload and Files are missing required fields. Click Resolve issues to close the modal and return to the batch to fix the problems, then try again. You can't submit the request until every file passes validation.
