How to Manage Export Profiles in Studio

Summary

The Export Profile Management feature provides administrators and designers with greater control over the available export formats within Bynder Studio. By managing visibility, renaming profiles, and setting design-level restrictions, teams can ensure brand governance and streamline the export workflow for end-users.

Who?

  • Studio Admins: Can manage global export presets, customization, and ordering for the entire account.

  • Studio Designers: Can restrict available export options for specific designs and templates to maintain brand integrity.

Why?

  • Enhanced Governance: Prevents end-users from exporting assets in unapproved or low-quality formats.

  • Improved User Experience: Creates a cleaner, more relevant export menu by reducing clutter and potential confusion for end-users.

  • Increased Operational Scalability: Allows central teams to add global presets without negatively impacting the user experience across all accounts.

  • Reduced Support Overhead: Empowers administrators to self-manage export options directly without relying on external support teams.

How?

Admin Guide: Configuring Global Export Profiles

Administrators can manage the full list of export options available to users to ensure organization-wide consistency.

  1. Navigate to the Studio environment
  2. Select Export settings from the left-hand sidebar menu.
  3. Toggle between the Image and Video tabs at the top of the page to manage formats for different asset types.
  4. Enable an export profile:
    • Scroll down to the Available exports section.

    • Click Enable next to the desired export profile.

    • Note: Enabled profiles move to the Enabled exports section and become visible to all end-users.

  5. Customize an enabled profile:

    • Click the Pencil (Edit) icon next to the enabled profile and select Edit details.

    • Enter a Custom Name to override default system naming (e.g., rename "PDF 300dpi" to "Print PDF").

    • Add a Custom Description to provide clear instructions to end-users (e.g., "Use just for print, CMYK color").

    • Click Save to apply changes.

  6. Reorder profiles:

    1. Click and hold the Drag handle icon next to a profile.

    2. Move the profile up or down to change its position in the end-user's export dropdown menu.

Designer Guide: Restricting Formats per Design

Open a design or template in the Studio Editor.

  1. Click the Design tab in the right-hand properties panel.
  2. Locate and click the Export options section.
  3. In the configuration modal, select the specific rendition profiles appropriate for this design (e.g., select only "PNG" and "Print PDF")
  4. Note: The list of possible configurations will only show the options enabled by the Customer Admin.
  5. Click Save changes.
  6. Publish the design to apply these restrictions to all future exports.

FAQs and Limitations

Who has access to these settings? These features are governed by standard Bynder Studio permissions for Administrators and Designers.

How do I disable an export profile? To disable an export profile, click the edit pencil and select “disable option”.

How do I revert a custom name? To revert to default (system) naming and description, click the edit pencil and then the “undo” icon .

What happens to existing exports? Disabling an export profile does not affect previously created or downloaded exports.

What happens when export profiles assigned to a design are disabled on a global level?

  • Disabled profiles are automatically removed from all designs, and will have to be reassigned to each design if reenabled.
  • If all assigned export profiles on a design are disabled, the end-user will no longer be restricted at the design level and will see all globally available profiles.

Does the system respect design-level restrictions during bulk exports? When multiple designs are selected, users can pick from all enabled profiles, but the system will only process designs that explicitly allow the selected profile. A message in the bulk export dialog will indicate this behavior to the user.

Can I customize technical parameters? Not at the moment. Self-serve configuration of technical output parameters (like specific bitrates or color profiles) is currently out of scope.
