Using Custom Vocabulary

Custom Vocabulary lets you set preferred spellings, so the system always uses your chosen words when processing videos and audios.

Common Use Cases

  • Better search results: When words are spelled correctly in the transcript, it is much easier to search for and find specific videos in your library.

  • Professional consistency: Your brand names and special terms will look correct and consistent across all your content.

  • Less manual work: You won’t have to fix the same spelling mistakes over and over again

Who can use this?

This feature is available to all customers who have the AI Search Package enabled for users with the Manage Portal settings permissions.

Follow these steps to set up your custom word rules:

  1. Go to Settings.

  2. Open Advanced Settings.

  3. Navigate to Portal Settings.

  4. Select Custom vocabulary

  5. Click + Add term. Enter the phrases or words usually misspelled.

  6. Provide the correct spelling for the system to use. Custom Vocabulary supports multi-word terms (for example, "Brand Portal" or "Digital Asset Management").

  7. Click Add.

  8. Upload new video or audio files to see the rules applied.

  9. Rules apply automatically during transcription of new uploads.

You can also access Custom Vocabulary directly from the transcript view

By default, these new rules only apply to new videos you upload after you save the settings.

If you want these spelling corrections applied to videos that are already in your library, please contact Support. They can help you reprocess your existing transcripts to include the corrections by reindexing those assets in the backend.
