Advanced workflow enables you to automate your workflow assignments. It allows you to predefine the individuals who will be responsible for each step of a workflow. This automation streamlines the process by assigning a step to specific team members as the content moves through the workflow. There are two types of assignments: item and workflow assignments.
How to Automate Workflow Assignments
- Navigate to the workflow tab.
- Select the workflow.
- To assign people to a workflow step, click on the .
- Choose an assignee from the list of people in the drop-down menu
- Select Save Changes to complete the process.
- Workflow assignments take priority, so people assigned during the workflow setup are locked to those steps and cannot be removed from inside items or the content hub. People assigned in this way can be identified by the lock icon next to their avatar.
Tip: It is also possible to manually assign people to workflow steps for each item individually. This is handy for managing ad hoc responsibilities.
Important Information
- Someone assigned to an item remains assigned regardless of the active workflow step.
- Someone assigned to a workflow step is only assigned to an item while that step is active (also known as the item's status).
