How To Enable And Use The monday.com Integration

Summary

monday.com is a cloud-based platform that allows users to create their own applications and project management software. With the monday.com x Bynder integration project assets can be automatically uploaded to the DAM via a trigger and tagged with relevant asset metadata.

This feature/solution requires your Customer Success Contact to enable, but then individual permissions can be done by the Bynder Admin.

Once this integration is enabled users with the Portal Settings permission can manage this integration.

Why?

Integrating monday.com into Bynder prevents users from having to manually upload and tag assets from monday.com, saving time and increasing efficiency. After configuration, users can update the monday.com trigger on the selected boards to sync the related task files into the Bynder DAM. Any time trigger the sync, assets in the files column, updates, or gallery of the selected board will appear in your Bynder DAM after roughly 5 minutes.

How?

Configuring The monday.com Integration

  1. Navigate to Settings > Advanced settings > Portal settings.
  2. Click Browse Integrations in the left sidebar.
  3. Click the Premium tab.
  4. In the monday.com section, click Configure.
  5. Enter a Name for this configuration, then click Save.
  6. If you've already configured a Bynder connection, it will be selected. If not, select New Authentication to add your Bynder credentials:
    • Your authentication name: Enter a name for the authentication.
    • Domain: Enter your unique domain by copying the URL of your Bynder portal (including https://).
  7. Click Create, then Next.
  8. Select New Authentication and add the following information:
    1. Authentication name: Enter a name for the authentication
    2. API key: Enter the monday.com Personal API Token.
  9. Click Create.
    • Choose Board: Click the dropdown to select which board you want to connect to your Bynder portal. You’ll need to set up a new integration for each board you’d like to connect to Bynder.
    • Choose column: Click the dropdown and select which column you’d like to use for the trigger.
      • The default Status column is commonly used, but any column can be selected.
    • Identify your Trigger: Determine what should trigger the assets to be sent to Bynder.
      • If the column you’ve selected has a defined schema, those values will be listed. Select the option from the list. This is the recommended suggestion. We typically recommend setting the trigger to an obvious name, such as Send to Bynder.
      • If the column uses custom values, type the value to be used as a trigger in the box. We do not typically recommend using a custom value, as users might enter the information incorrectly or have a spelling mistake.
  10. Click Next.
    • Metadata mapping: If you want to map certain data from monday.com to be mapped to your Bynder metaproperties, you can do so by following these steps:
      1. Click Add Custom Field Mapping.
      2. Click Choose an option under monday.com Column and select a field from the dropdown.
      3. Then Choose an option under the Bynder Metaproperty to which you’d like to map it.
    • Static Metaproperties: Automatically add certain metaproperty values to all assets synced from monday.com. For example, you can set a Source metaproperty to monday.com for all assets uploaded via the integration.
      1. Click Choose an option under Bynder Metaproperty and select a field from the dropdown.
      2. In the Value section, enter the option with which the synced assets should be tagged.
      3. Click Add a new mapping to add additional metaproperties.
  11. Click Next to review the information, then click Finish.

Things To Note

  • You must create a trigger for each board you’d like to sync with Bynder.
  • While you can set up any column field to be used as a trigger, we typically recommend adding an option to a Status field, such as Send to Bynder.
  • If you delete the configured trigger, the integration will be disconnected.
  • Assets uploaded to the files column, updates, or gallery within the selected board will be synced to Bynder.
  • You’ll need to copy the monday.com API token for the integration. 
  • For integrations to work properly, board owners must have the necessary permissions. If you’re experiencing issues, verify whether you’ve been granted board ownership. Only board owners can set up, edit, and manage integrations on a board.
  • If you are removed as the board owner, the integration will be turned off, and no one can reactivate it until the integration creator becomes the board owner again. Without ownership, you may face restrictions when attempting to manage integrations.

Editing The monday.com Integration

  1. Navigate to Settings > Advanced settings > Portal settings.
  2. Click Active Integrations in the left sidebar, then Edit in the section of the connection that you would like to update.
  3. Make the changes, then click Save.

FAQs

What happens to the asset if I delete it from my Bynder portal (or vice versa)?

If you delete an asset in Bynder, it will remain in monday.com, and vice-versa. 

What happens if you upload a new version in monday.com?

If you add a new version in monday.com and retrigger the sync, the new version will be added as a new file within Bynder. It will not be added as a Bynder version.

What will happen to this integration if I delete the synced trigger in monday.com?

Deleting the synced trigger in monday.com will disconnect the integration. To fix this you will need to re-add the trigger in monday.com and then edit the integration to reconfigure the trigger.

How long will it take for assets to appear in my Asset bank?

Your asset will sync after approximately 5 minutes.
