Governance Agent

Summary

Scans for asset usage across the web, detecting outdated, expired or unauthorized assets, preventing IP leaks and uncovering counterfeits, so your brand stays protected as you expand into new markets and partners. 

Governance Agents help you monitor and enforce the correct usage of your digital assets across the internet. It tracks where your assets appear on the public web, using image recognition to identify exact matches and modified versions (scaled, cropped, or altered images). This gives you more visibility to external sites so you can manage usage rights, maintain compliance with licensing and expiration dates, and reduce brand and legal risk.

Who?

  • Bynder administrators: Access configuration screens, view scan results, and manage governance data.

Why?

  • Enforce asset usage rights: track public occurrences of your assets to verify they comply with active license agreements.
  • Track expired or outdated content: locate assets still visible on external sites past their expiration date.
  • Reduce brand and legal risk: identify unauthorized usage or brand inconsistencies on public web channels before they cause liability issues.

How?

How to Run a Scan

  1. Confirm with your Bynder representative or administrator that the Governance Agent is enabled for your account.
  2. In your Bynder library, select the assets you want to scan.
    • Recommendation: select up to a few hundred assets. The technical maximum is 1,000 assets per scan.
  3. Click the Agent button in the interface and select Asset WebScan.
  4. Name the scan (for example, "Q3 Campaign Web Scan") and click Scan.
  5. Monitor and view results. We send a notification when the scan is complete; access results through the notification or via Settings > AI Agents > Governance.

Setup note: when creating a Governance Agent in the Agent Library, no further configuration is required beyond optionally customizing its name.

Understanding the Asset Scan Overview Page

  • High-level metrics: Scan name, execution date, status, total assets scanned, total assets found, total matches, and matched domains.
  • Detailed breakdowns: Findings per individual asset, alongside the specific external domains and URLs.
  • Reporting and optimization: Filter to isolate data, download CSV reports for external analysis, or repeat the scan to check for updates.

Best Practices

  • Filter your results: Use the built-in filtering tools to focus on specific assets or high-priority domains.
  • Expect index variations: We rely on search engine indexing. Public web indexes update continuously, so slight variations between sequential scans are normal.

Limitations

The Agent checks a comprehensive visual database of images on the public web. Certain factors can prevent matches from being retrieved:

  • Unindexed pages: new pages, rarely visited websites, or pages that block search engine indexing will not appear immediately.
  • Secure pages: It cannot find assets on private or secure pages behind a login screen.
  • Visibility restrictions: images that load only after a user scrolls or clicks, sit behind a cookie consent notice, or serve as tiny icons or decorative backgrounds may be missed.
  • Heavy editing: significant modifications, including tight cropping, text overlays, graphic overlays, heavy color filters, or extreme compression, can prevent the image recognition system from matching the asset.
  • Regional limits: some content may be unavailable due to regional or legal browsing restrictions.
