How To Share Files Using Bynder Express

Summary

Bynder Express is a secure, dedicated large-file transfer tool built into your Bynder portal. It allows users to send high-resolution RAW files, work-in-progress files, video recordings, or temporary brand guidelines to internal and external recipients. Files uploaded through Bynder Express are temporary transfers and are not added to the Digital Asset Management (DAM) system or asset bank.

Depending on your portal configuration, access to Bynder Express may appear in different locations.

To use or manage Bynder Express, users must hold specific roles and permissions:

  • End-Users: Require the Access to Bynder Express permission to share files and the View personal transfer history permission to track their own past transfers.

  • Managers/Supervisors: Require the View transfer history from others permission to monitor transfers created by other users (e.g., former employees).

  • Administrators: Require the Manage Portal Settings permission to configure global tool settings, expiration timelines, and sharing methods.

  • Recipients: Do not require a Bynder account or login session to download shared files via an email or shared link.

Important: Files shared via Bynder Express are NOT added to the asset bank. These transfers are temporary. However, uploaded files do count toward your portal's total storage space until the transfer expires or is revoked. For this reason, it is best practice to set an expiration date.

This feature/solution requires your Customer Success Contact to enable, but then individual permissions can be done by the Bynder Admin.

Why?

  • Asset Bank Integrity: Prevents your permanent asset library from being cluttered with one-time, temporary, or work-in-progress files.

  • Seamless External Collaboration: Allows external agencies, clients, and prospects to download large source files or demo recordings securely without needing portal access.

  • Storage Management: Automatically frees up portal storage space once a transfer expires or is manually revoked.

  • Centralized Tracking: Provides users and admins with full visibility into transfer history, expiration dates, and active download links.

How?

Accessing Bynder Express

Depending on your portal configuration, access to Bynder Express may appear in different locations. 

  • Via Settings: Click the Settings gear icon in your Bynder portal, then select Bynder Express.

  • Via Homepage/Navigation: Click the direct link or widget if your administrator has added it to your portal homepage or navigation bar.

Sharing Files via Email

Use this method when sending files directly to specific email addresses.

  1. Navigate to Settings > Bynder Express.

  3. Drag and drop your files or select them from your device.

    • Optional: Click Add more files to upload additional items.

  4. Click Next.

  5. Select the Email tab.

  6. Enter up to eight recipient email addresses.

  7. Optional: Type a personalized message for the recipients.

  9. Click Send. A confirmation message will display when the transfer reaches 100%.

Storage Note: Uploaded files count toward your portal's total storage allocation until they expire or are revoked. Always set an expiration date and avoid selecting "Never" to prevent files from occupying storage space indefinitely.

 

 

Sharing Files via Link

Use this method to generate a URL for project management tickets, chats, or personalized communications.

  1. Navigate to Settings > Bynder Express.

  2. Click Share your files.

  3. Drag and drop your files or select them from your device.

  4. Click Next.

  5. Select the Link tab.

  6. Select an expiration date from the dropdown menu.

  7. Click Generate link (or Send).

  8. Click the copy icon or manually highlight and copy the generated URL.

  9. Paste and share the link through your preferred channel.

Reviewing and Revoking Transfer History

Track your deliveries or break active download links immediately to free up storage space.

  1. Click your name in the top navigation bar.

  2. Select Transfer history.

  3. Manage your transfers using the following actions:

    • Hover over the Recipients column to view the complete recipient list.

    • Hover over the Expiration column to view the exact expiration date.

    • Click the corresponding action button to re-copy an active link or download the files yourself.

    • Click the revoke button to immediately deactivate an active link and delete the files from your portal storage.

FAQs

Can a non-Bynder user access Bynder Express to share files if they have the URL? 

No. Users must be logged into the Bynder portal to share files via Bynder Express. However, recipients do not need a Bynder account to download files from a shared link.

What happens if I misplace a generated link? 

You can always find past-generated links in the Transfer History section of your portal.

Can I revoke a link created by another user? 

No. You can only revoke your own transfers, even if you are an admin.

Can I customize the expiration date options beyond the defaults? 

As an admin, you can decide which of the standard options (1 Day, 1 Week, 1 Month, or Never) are visible to users. It is not possible to add custom expiration durations beyond these defaults.

Do files shared via Bynder Express get added to the asset bank? 

No. Files uploaded through Bynder Express are not added to the DAM or asset bank. They are temporary transfers only. However, they do count toward portal storage until they expire or are revoked.
