How To Create Collection Groups

Summary

Collection Groups empower users to categorize their collections in a meaningful way and share them with ease with the correct stakeholders. Public collection groups allow users to share with external stakeholders for optimized sharing.

Who?

This feature/solution is enable-able by a Bynder Admin.

Create a Collection: Users with the Create a Collection permission can create their own Collections, and therefore create Collection Groups. Crucially, this permission is also required for viewing Groups; if a user does not have the permission to create collections, they will not be able to view Collection Groups in the portal.

Manage Collection Groups: In order to share Collection Groups within the portal, the user must have the Manage Collection Groups permission. This allows users to share groups they have access to (even if they do not own them) and make groups public.

Why?

Collections are a valuable way to categorize your assets, and using groups allows you to categorize your collections. Grouping collections enables users to share more efficiently with necessary stakeholders, find relevant collections easily, and ensure easier discoverability. The Public Collection Groups feature allows users to make an entire group of collections accessible to anyone via a single public URL. This eliminates the need to manage and share multiple links, providing a streamlined, professional experience for everyone.

How?

Creating Collection Groups

1. Navigate to Collections in your portal.

2. From your left-side menu select Groups.

3. This will open your Groups menu. If you have never created a group you will have two New Group button options. If you have already created groups then you will only see the New Group button in the top left of your screen. Click New Group.

4. A Create new group pop-up will appear asking for you to Name the group and optionally describe the group. This will enable the Continue button. Click Continue.

5. Navigate to My collections from the left-hand side menu in Collections

6. Hover over the collection you wish to add to a group, press the three dots button. Click Add to group.

7. An Add to group pop-up will open, here you can select an existing group for the collection, or you can create a new group. Click Add.

8. (Optional)The collection has now been added to the specified group. You can hover over the collection, select the three dots button, and open the dropdown. From here you can remove the collection from the group. Click Remove from group.

9.(Optional) Click the Screenshot 2025-04-13 at 14.45.14.pngbutton to copy the link to share the group. The collection permissions of the user you are sharing with will be honored. 

Note: To find groups you can use the Screenshot 2025-04-13 at 14.49.20.pngbar from within the Group overview. Groups cannot be searched anywhere else.

Creating Public Collection Groups

  1. Navigate to the collection group to be made public.

  2. Click the Settings dropdown and select Edit group.

  3. In the settings modal, change viewing access to Public.

  4. Click Save.

  5. Copy the url from the navigation bar or click the copy link icon next to the settings icon.

  6. Share the url with external recipients.

Note: For a collection to be visible on the public page, it must also be individually set as published online within its own settings. Logged in users will see all collections in a group they have access too.

FAQs

Why can't I share a group, but I can create a collection?

You need the Manage Collection Groups permission to share a group. If you do not have this permission contact your Bynder Admin.

Can I add a collection to more than one group?

Yes, you can add the collection to multiple groups to fit your needs.

Is there a way to limit the view of Collections Groups for users with the Manage Groups permission?
No, if you have the Manage Groups permission you will see all groups in the portal.

Is it possible to disable Whole Portal?
No.

Can public collection groups be password-protected?

Public collection groups cannot be password-protected, you can use a custom link for that but anyone with the collection link would still be able to access without a password.

Can I change a collections published online status?

You cannot change a collection's published online status from within the collection group settings. This must be done on the individual collection.

Can you pull a report on collection shared links that are expired?

Yes, you can, as long as you have Advanced Analytics, you can access this information within the Collections Dashboard.
