Sharing Chapters and Pages in Brand Guidelines

Pages are a core element of a guide and are nested in chapters. Both chapters and pages are by default accessible to all the users who have access to the guide they belong to. If needed, you can assign higher or lower levels of permission than those set at the parent Guide level.

This sharing option is only available if you're on the Advanced or Enterprise plan of Brand Guidelines.

Chapter & Page Access Types

By default, chapters inherit the permissions from the guide they belong to and pages inherit the permissions from the chapter they belong to. For example, if the Guide is set to Public, all the pages will be public too. Similarly, if the guide is shared with All users, so will the pages inside the guide.

You can further restrict access to specific chapters and pages within a guide, so that they're not accessible for specific users, user groups and/or permissions profiles.

The Brand Guidelines module allows you to share content on a very granular level. For every user, user group or permission profile you share with, you can assign a different level of access. Example use cases are:

  • You want only a few users to edit a page, while everyone else can view it.

  • You want some pages to only be visible to a specific team.

  • You want to hide specific pages inside a public guide so external users cannot see them.

Note

When sharing you can only give specific users, user group and/or permission profiles Viewer or Editor rights when you're on the Advanced or Enterprise plan.

How to Share Chapters & Pages?

I Want to Share a Chapter

  1. Open the guide where you can find the chapter you want to share.

  2. Click the Edit guide button.

  3. Hover of the chapter you want to share in the left sidebar, click the hamburger_menu.png button and click Share.

  4. Open the dropdown at the top of the access screen and select one of the following options

    • Restricted

    • All users

    • Public

  5. Search for the user, user group or permission profile you want to share the chapter with and click their name to add it.

  6. Open the dropdown next to a user, user group or permission profile and grant them the Viewer or Editor permission.

  7. (Optional) Repeat the steps 5-6 as often as necessary to share the guide with other users, user groups and/or permission profiles.

  8. Click Save changes

Note

The permissions you can set on a chapter level can only be more restrictive than the permissions of the guide the chapter belongs to. For example, if your guide is set to Restricted the chapters that belong to this guide can't be set to All users or Public. See the below screenshot for an example.

I Want to Share a Page

  1. Open the guide and chapter where you can find the page you want to share.

  2. Click the Edit guide button.

  3. Click the hamburger_menu.png button next to the page title and click Share.

  4. Open the dropdown at the top of the access screen and select one of the following options

    • Restricted

    • All users

    • Public

  5. Search for the user, user group or permission profile you want to share the chapter with and click their name to add it.

  6. Open the dropdown next to a user, user group or permission profile and grant them the Viewer or Editor permission.

  8. Click Save changes
