Check Asset Permissions with the Asset Permission Viewer

Metaproperty options allow you to set asset permissions, restrict access, edit, audit, or delete. If users contact you about access issues or you need an overview of permissions for a specific asset, the Asset Permission Viewer offers a quick solution.

What are Asset Permissions?

You can set access restrictions by tagging assets with metaproperty options. Only designated users, user groups, or permission profiles can see, edit, or delete the assets.

Who can check asset permissions?

How to Check Asset Permissions?

  1. Navigate to your Asset Bank.

  2. Open the asset and go to the Info tab in the Asset Detail View.

  3. In the Asset metaproperty permissions section, click View asset permissions (visible if permissions are set).

  4. The Asset Permission Viewer will display all metaproperty options applied to the asset and the associated permissions for each option. The options are indicated by the metaproperty_permission_viewer.png icon.

    • Permissions are shown for each permission profile, user group, or user. If no permissions are set, the viewer displays "No asset permissions have been set."

    • You can manage these directly by clicking the Edit button next to a metaproperty option.

Examples

Example 1

An asset with the "North America" metaproperty options selected is restricted, meaning only designated user groups like North America - Content Managers can access it. Other users cannot.

Example 2

An asset has both the"United States" and "Photo" Metaproperty Options selected.

The Asset Permission Viewer indicates that the United States option is hidden for the EU-only user group.

The Photo Metaproperty option is hidden from the Light Workflow User permission profile.

So, users in the EU-only user group and assigned to the Light Workflow permission profile cannot view this asset.

Important Information

  • By default, assets tagged with multiple permissions will not be visible to users who don't have all the necessary permissions to view them.
  • Your portal configuration may allow users to view assets tagged with multiple options from the same hidden by default metaproperty, even if they don't have access to each option. Read more about it here.
  • Reach out to your Customer Success Contact if you would like to double-check which situation applies to your portal.
