When you take photos or save your assets in editing software chances are high that metadata is automatically written to your files. Using this metadata in combination with Bynder can be a time saver and reduce the risk of human error.
Did you know that you can automatically fill your metaproperties with this metadata when uploading assets to Bynder? Bynder extracts the metadata upon upload and fills the default Bynder fields such as the asset title, description, copyright and tags with this data. This way, you and other uploaders no longer have to manually tag the assets with the right metadata. In addition, you can map your metaproperties to specific metadata tags, so that they are automatically filled with the right metadata upon upload as well.
Would you like to keep this metadata available or are other systems dependent on it? Bynder keeps the metadata and can make sure it's still available when you download your assets from Bynder. When downloading assets we support exporting the available metadata to a CSV file. Upon download the available metadata as well as any metadata updates that were made within Bynder can be written back to the metadata tags as well. This way, you ensure that the metadata inside the files is always up to date and reflects the metadata that is available in Bynder. If necessary, the metadata can be written to metadata tags, so that they match the metadata tags that your other systems use as well.

Save yourself and other uploaders the time of having to manually tag assets during upload and reduce the risk of human error at the same time. Use the already existing information in the metadata of your files instead and have this data automatically populated in the upload screen.
When your organization has processes in place to tag files with metadata using cameras, photo editing software or other systems you can use this data to automatically fill your metaproperties during upload in Bynder. Any EXIF, XMP or IPTC tag can be used. However, the only fully custom metadata tags that we support are those based on the XMP-metadata standard.

The default extraction always takes places regardless of settings and cannot be disabled. The following table describes which metadata tags get retrieved and which Bynder fields it will be written to. Metadata tags do not have a pre-defined order.

You can fill your metaproperties by adding the specific metadata tag to a metaproperty. This way, the information will also be displayed in the Asset Detail View. Any EXIF, XMP or IPTC tag can be used. However, the only fully custom metadata tags that we support are those based on the XMP-metadata standard.

Determine which specific Exif data you want to map to Bynder. Use a tool such as the Exiftool to read the Exif information of your file(s). Analyze multiple assets, so that you have a good understanding of the metadata tags your data is written to, since this can vary when your files come from different sources.

Tip
Is the information you want to map to Bydner not always available in the same Exif field and instead saved to multiple Exif fields with (slightly) different naming? In that case, you can map all Exif fields to the same metaproperty in Bynder.

Copy the exact name of the metadata tags that you want to map to Bynder.

In Bynder go to Settings > Taxonomy > Metaproperties management and edit the metaproperty you want to map this metadata to by clicking the
button.

Paste the exact name of the metadata tag in the Metadata tag field. Comma separate the values in case you want to map multiple metadata tags.

In case multiple mapped Exif fields contain data, the data of the field first in line will be used in Bynder.

(Optional) Select the Display field and Main Filter options as well if you want the metaproperty and the metadata to be visible in the Asset Detail View as well.

Click Save to save the changes.

(Optional) Repeat these steps for other metaproperties you want fill with exif data.
You can choose to make two types of metadata available to users that they can include when downloading assets. We support downloading XMP and CSV metadata. In the CSV file you will find the metadata that is currently available in the portal. So if, for example, a description was updated for an asset, the updated description will be included in the CSV file.
Depending on the portal setup the XMP can either present the original metadata (as of the upload date) or the updated one (as of download date). The XMP data is embedded in the downloaded asset(s).
By default, the default Bynder fields are included in the XMP metadata, such as the asset title, description, tags, copyright etc. Check this section if you want your metaproperties to be included in the XMP metadata as well.
If necessary, including metadata can be made required. Users who have the Export metadata csv file on download permission will then always automatically download the XMP and/or CSV metadata when downloading assets. The corresponding checkboxes on the Asset Detail View will be automatically selected and can't be deselected.
Should your metadata always be up-to-date because of legal requirements or other reasons? We can make sure the original metadata is always deleted prior to the asset download. The system will remove all the original XMP metadata and write the updated XMP metadata to the file. The downloaded asset will then include the XMP metadata as it was edited/updated in the portal. This will apply to derivatives as well.

When you download assets or a collection with the option Include XMP metadata selected make sure the description field of your assets does not contain line breaks. Otherwise, the download may not start.

XMP metadata embedded in PNGs might not display properly on Windows.

Decide on the following items

Do you want to make it possible to include CSV, XMP or both metadata types upon download?

Which permission profiles should be able to download metadata?

Do you want the download of metadata to be required, so that the metadata will be automatically included when downloading assets?

Should the original metadata be deleted prior to the asset download and be replaced with the updated metadata?

Decide whether you want your metaproperties to be included in the XMP metadata as well. If so, decide on the mapping you want to be implemented. See this section for more information.

Open to the asset you want to download with metadata.

Select the Include XMP metadata option if you want your download to include the available XMP metadata.

Select the Include CSV metadata option if you want your download to include a CSV file with the asset data.

Click one or more of the available files to start the download. Alternatively, you can click Download all files to download all the files at once.
If your portal is configured to update the existing XMP metadata when downloading assets the changes will be written to the main namespace instead of the Bynder namespace. This will overwrite the existing metadata.
For the default Bynder metadata such as the asset title, description, copyright and tags the default metadata tags will be used. You'll find a list of the default tags Bynder uses below. So for example your Bynder asset title will be written to the default XMP:Title metadata tag.

If you don't want the default Bynder metadata to be written to the default metadata tags we can write it to a custom metadata tag. So instead of writing the Bynder title to the default XMP:Title tag it will be written to a custom tag instead. For example, XMP:AssetTitle.

You can export metaproperties and their values to specific XMP tags.

Go to Settings > Taxonomy > Metaproperties management.

Click the
button of the metaproperty you want to set up a metadata tag for.

Enter the metadata tag names in the Write metadata to namespace field in the following format:
XMP:Description, XMP:Creator

Select the Export field option.

Click Save to save the changes.
If an asset has been tagged with this metaproperty, and you download this asset with XMP metadata, the metaproperty values should be exported to the tags provided in this field. We support exporting to XMP. Several metaproperties can be written to the same namespace.
