The custom workflow feature helps you easily track the status of your content by assigning different steps to your items, allowing you to monitor their progress. Each project has a designated default workflow. This workflow is used automatically for newly created items and is also represented as a colorful bar on the project cards in your account dashboard. If enabled, you can create customized workflows that suit the specific type of content you produce and align with your team's content production process. Here are some example workflows for different types of ongoing content projects such as blog posts, newsletters, and case studies.
Who can create workflows?
Users with the following rights can set up workflows
Blog Post Workflow
If you regularly publish blog posts, you can use a content workflow to track each post's production stage. Your workflow might look like this:
- Idea: Track potential topics for future posts.
- Draft
- Review: If the content needs approval from multiple stakeholders, you can repeat this step, specifying the relevant group (e.g., Review by SMEs, Marketing, Legal, Compliance, etc.).
- Edits Required: Reviewers can indicate if the content needs revisions or skip to the next stage if approved.
- Approved to Publish
Newsletter Workflow
Newsletters often require input from various departments. You can design a workflow that matches your newsletter's production process:
- Marketing Draft
- Design Assets Required: Notify your design team to provide images and other assets for the newsletter.
- Management Review: Notify different departments when the content is ready for their input.
- Edits Required
- Approved by Management
- Legal Review: Notify the legal department when the content is ready for review.
- Edits Required
- Approved by Legal
- Final Proof
- Approved to Publish
Case Study Workflow
Case studies often involve several rounds of review, which the workflow can support:
- Not Populated Yet: Use this stage for a case study that is being discussed but has yet to be produced.
- Draft
- Client Review: Notify stakeholders when the content is ready for client review.
- Edits Required
- Approved by Client
- Final Proof: Notify stakeholders when the content is ready for a final review.
- Edits Required
- Approved to Publish
- Live on CMS
- Needs to Be Updated: If you manage your content, include this stage to indicate when updates are needed.
