Create Alerts in Avanced Analytics

Alerts in Advanced Analytics allow you to monitor important changes in your DAM system and take appropriate action. You can set up alerts based on specific metrics, determine thresholds, specify how often to check the data and choose who receives notification emails.

These alerts are useful for notifying key stakeholders about certain events, like a specific number of downloads on your platform, sudden decreases in user logins, or unsuccessful searches.

Keep in mind that there are ongoing improvements to the dashboards that might impact your alerts. Check the Bynder Release Notes for any updates or enhancements to Advanced Analytics.

How to enable this feature in your portal?

Contact your Customer Success Manager to learn about enabling Advanced Analytics in your portal and any associated costs.

 

Who can create alerts in Advanced Analytics?

Users with the following permission can create alerts in Advanced Analytics.

  • View advanced reporting

Who can view alerts?

  • Any external or internal Bynder user who is subscribed to the alert

Create a New Alert

  1. Navigate to SettingsReporting > Analytics.
  2. Navigate to the dashboard where you would like to create an alert. Screenshot 2024-03-01 at 1.55.40 PM.png
  3. Select Bell - notifications.png
  4. Enter the details for your alert:
    • Name: Enter a name for your alert.
    • Condition: Click the dropdowns to select which conditions will trigger the alert. This allows you to set an alert on a breakdown of a number.
      • For example, if you want to set an alert to know when more than 100 assets have been downloaded, you would set up an alert if the Downloaded Assets is greater than or equal to 100, and the individual will receive a notification.
    • Select from the dropdown options based on how your Portal is configured (i.e., Any Assets, Published, Pending, Rejected).
    • Select is greater than, less than, equal to, greater than, equal to, or less than or equal to.
    • Enter a Value.
  5. Where to send it: In the field below Email, you can just type in the email address(s) to which you would like to receive alerts. These can be Bynder or non-Bynder users. 
    • Press the TAB or ENTER key to include more email addresses.
  6. Frequency: Select the frequency of the alerts: Monthly, Weekly, or Daily, so as not to overwhelm the notification receiver.
  7. Time: Select the time of day that the alerts will be sent.
    • The user's time zone needs to be respected. US Pacific timezone will be used.

  9. Once the condition is met, the alert will trigger an email to the configured email address(es) and include the associated dashboard in your Portal.

View Alerts in your Portal

You can see only the alerts in the portals you created in your dashboard; they will not appear in the notification center of your Portal.

  1. Navigate to Settings > Reporting > Analytics.
  2. You will see a number following to Bell - notifications.pngScreenshot 2024-03-01 at 1.55.06 PM.png
  3. Select Bell - notifications.png to view the number of alerts you have set up in your dashboard.
  4. To view the actual dashboard associated with the alert, you must include your Email in the alert setup.

View Alerts in your Email

Any user type (external or internal) can view alerts sent to them via Email.

Duplicate, Edit, or Delete an Existing Alert Notification

  1. Navigate to Settings > Reporting > Analytics.
  2. Select the dashboard from which you want to duplicate, edit, or delete an alert notification.

FAQ

Can I unsubscribe from an alert that someone created?
If you want to be removed from receiving alerts, you must notify the creator of the alert to remove you from receiving them.

Can I follow someone else's alerts that they've created?
No, you cannot follow someone's alerts; you can only see the alerts you set up in your Portal.
